Right inside Zoom.
Connect a Zoom host, link a scheduled meeting, and send your 4ALL source transcript or one translation to Zoom’s native captions. No OBS, virtual camera, or meeting bot.
For the Zoom Marketplace app “4ALL.LIVE Captions, Translations, TTS, ASL and AD”. This guide covers its native-caption integration. Updated September 6, 2026.
Before you begin
- A 4ALL organization. Owners and admins can connect or disconnect Zoom hosts; an event operator needs permission to configure live events and destinations.
- A Zoom host account with a scheduled or recurring Zoom Meeting. A Zoom Basic account can use the integration, subject to Zoom’s normal meeting limits. No paid Zoom developer subscription is required.
- The native Zoom Workplace desktop app for the host’s per-meeting manual-caption setup. Attendees can use Zoom Workplace or Zoom’s Web App to view captions.
- If your Zoom organization requires Marketplace app pre-approval, ask its administrator to approve the 4ALL app before connecting.
Enable the two Zoom account settings
- Sign in to the Zoom web portal settings. Open Meeting → In Meeting (Advanced), or search for “Manual captions”.
- Enable Manual captions.
- Enable Allow use of caption API Token to integrate with 3rd-party Closed Captioning services. Save if Zoom prompts you.
- If either setting is locked, contact your Zoom administrator. Back in 4ALL’s Zoom meeting setup, select Recheck.
A Ready account check confirms these settings only. The host still activates manual captioning inside each live meeting, as described below.
The Zoom destination is available on all 4ALL plans. Normal 4ALL transcription/translation usage and your Zoom account’s meeting limits still apply.
1. Add and connect a Zoom host
- Sign in to the production 4ALL dashboard as an organization owner or admin. New to 4ALL? Create an account, complete the sign-up prompts, and create your organization. Select the organization that will use this host.
- Open Organization → Integrations. In the Zoom section, choose Connect Zoom.
- Sign in to Zoom as the account that hosts the meetings. Review the requested permissions, then choose Allow to authorize 4ALL.
- You return to 4ALL. Check that the host’s name/email and active connection status are correct. Repeat for additional hosts if needed.
No API token needs to be pasted into 4ALL. OAuth and caption delivery are handled securely by the platform.
2. Link your 4ALL event
Create or open an event in 4ALL. Configure its audio input and spoken/source language first. When using a microphone, allow the browser’s microphone permission and select the correct device. The integration sends text produced by 4ALL’s audio input; it does not listen to or transcribe the Zoom meeting’s audio.
- Open your event’s Live setup → Outputs & destinations. Find Zoom below the QR section and select Set up Zoom meeting (or Edit Zoom meeting).
- Choose the connected Host account. Search the scheduled meeting list by name or ID. You can also use Use a meeting link or ID instead.
- Confirm the meeting topic, host, date, time and timezone. Recurring meetings are supported; the host repeats live activation for each occurrence.
- Choose one Caption language: the event’s source language or one translation already configured in 4ALL.
- Choose Caption timing: Live phrases · Recommended sends stable partial phrases for faster reading; Completed captions only waits for completed captions.
- Turn on Send captions to Zoom, check Host readiness, then select Save destination.
Configure before going live. Meeting and language changes are locked while the linked session is active. Each event sends one language to one Zoom meeting.
3. Activate and use live captions
Host action: every meeting occurrence
- Start the bound meeting as the connected host in the native Zoom Workplace desktop app.
- In the meeting toolbar, open the arrow/menu next to Show Captions or Captions. Choose Set up manual captioner.
- If shown, turn on Enable manual captioner. Select Copy the API token.
Do not paste or share the copied token. This prepares Zoom’s caption endpoint for the occurrence; 4ALL retrieves its own signed caption destination securely.
- In 4ALL, verify your audio input and choose Go live. Start speaking and confirm new text appears in the 4ALL transcript.
- Zoom can start before or after 4ALL. The destination waits until both sides are live and the host has completed activation, then starts sending new captions automatically.
- Each attendee selects Show Captions in Zoom. They control caption appearance and position in Zoom; 4ALL overlay styles do not apply.
- Share a screen normally. Captions are native Zoom text, not a webcam overlay, so attendees can keep captions visible during screen sharing.
- Choose Stop in 4ALL to stop delivery without ending Zoom. Ending Zoom stops only Zoom delivery; your 4ALL event can continue.
Only new live text is delivered; historical transcript segments are not replayed. Zoom’s caption endpoint cannot rewrite text already displayed. Late corrections remain in the 4ALL transcript.
This destination does not send audio, TTS, ASL video or audio-description feeds into Zoom. Zoom Webinars, breakout rooms and simultaneous third-party manual-caption sources are not supported.
Check your first meeting
- Speak a new sentence after activation. Confirm text appears in 4ALL, the Zoom destination shows Sending, and a separate participant can read it with Show Captions enabled.
- Share the host’s screen and confirm the participant can still see the native captions.
- Stop both sessions before changing the destination. To test translation, configure a target language in 4ALL, select it in Zoom setup, restart and speak a new sentence. Confirm Zoom displays that language.
- Test Completed captions only separately: pause at the end of a sentence so 4ALL can finalize it. For a recurring meeting, repeat the host’s manual-caption activation at every occurrence.
- If any check fails, use the troubleshooting steps below. Do not send the copied caption API token to support.
Troubleshooting
Host readiness is not ready
Enable both Manual captions and the caption API-token setting in the Zoom web portal, then select Recheck in 4ALL. If a setting is locked or greyed out, ask your Zoom account or group administrator. 4ALL checks these settings; it does not change them for you.
Activate captions in Zoom / captions are not appearing
Account readiness is not the same as live-meeting activation. In the native Zoom Workplace desktop app, the connected host must open Set up manual captioner, enable it if prompted, and select Copy the API token for this occurrence. Attendees must also select Show Captions. Generate new speech after activation; earlier transcript text is not replayed.
Waiting for Zoom or waiting for 4ALL
Start the exact Zoom meeting linked to the event, signed in as the connected host. Put the 4ALL event live and check that its transcript is receiving new text. Either system can be started first.
Reauthorization required
A 4ALL organization owner or admin should open Organization → Integrations and reconnect the affected Zoom host. This may be needed after permissions change, the app is removed, or authorization expires.
Meeting is missing or belongs to another host
Select the correct connected host, refresh the meeting list, or use the meeting link/ID option. Use a scheduled or recurring Zoom Meeting, not a Webinar or breakout room. Connecting one host does not give access to every host in the Zoom account.
Conflict or degraded delivery
Only one live 4ALL event and one third-party manual-caption source may send to a Zoom meeting occurrence. Stop the competing source. If delivery remains degraded, check service status and contact support with the time and displayed error—not a caption token.
Selected translation is not showing
Confirm that the selected language is configured in the 4ALL event and that new translated transcript text is appearing in 4ALL. The integration waits for that language; it does not silently substitute source-language text.
Remove or disconnect the app
Remove one event destination
Stop the linked live session if needed. Open Outputs & destinations → Zoom → Edit Zoom meeting → Remove, then confirm Remove destination. The host connection stays available to other events. This does not end the Zoom meeting.
Disconnect a host in 4ALL
- As an organization owner or admin, open Organization → Integrations.
- Find the Zoom host, choose Disconnect, and confirm.
- 4ALL disables that connection and stops its caption delivery. Connect again through OAuth if you want to use the host later.
Remove from Zoom Marketplace
- Sign in to Zoom App Marketplace as the connected Zoom user.
- Open Manage → Added Apps and select 4ALL.LIVE Captions, Translations, TTS, ASL and AD.
- Select Remove and complete Zoom’s confirmation. Zoom revokes access and notifies 4ALL to disable affected delivery and remove the connected authorization data.
Removing the integration does not delete your 4ALL events or transcripts. To request deletion of your 4ALL account or service data, contact support using the privacy-policy process.
Data and permissions
4ALL reads the authorized host’s profile, scheduled meeting metadata and caption settings, receives meeting start/end events, and retrieves the meeting’s caption URL. It sends only the event’s selected live transcript or translation to the bound Zoom meeting.
- Profile: identifies the connected host and account.
- Meetings: lists and validates the selected meeting; lifecycle events coordinate delivery.
- Caption settings: shows a readiness check. The raw settings response is not stored.
- Caption token: authorizes server-side native caption delivery. It is not exposed in the dashboard.
OAuth credentials are encrypted at rest. 4ALL stores the connected host’s identity, selected meeting metadata, granted permissions and sanitized delivery/audit records in its organization-scoped database. Authorized dashboard users can see the connection and meeting information they need; they cannot retrieve OAuth credentials or the signed caption URL.
This integration does not request Zoom meeting audio, video, chat, recordings or participant lists, and does not join as a bot. Disconnecting or Zoom-side removal disables affected delivery, wipes encrypted authorization and clears linked host/meeting data. Failed runtime-stop requests are retried. Secret-free audit/idempotency records may remain. Removing Zoom does not delete the customer’s 4ALL events or transcripts; 4ALL remains their system of record.
